Terms & Conditions
1. Introduction
These Terms & Conditions ("Terms") govern the booking and use of tour services offered by Viltour ("we", "us", "our"), a sole proprietorship of Joanna Maria Szemik, registered in Iceland (kennitala: 020582-3409), with its registered address at Hafnarstræti 26b, 600 Akureyri, Iceland.
By making a reservation through our website viltour.com or otherwise booking a tour with us, you ("the customer", "you") confirm that you have read, understood and agreed to these Terms. These Terms apply to all tours offered by Viltour, whether booked directly through our website, by email, by phone, or through any third-party platform.
If you are making a booking on behalf of other participants, you confirm that you have the authority to accept these Terms on their behalf and that all participants are aware of and agree to these Terms.
2. Our Services
Viltour offers guided day tours in Northern Iceland, departing from the Akureyri area. Our tours include:
Private tours — booked exclusively for your group, priced per tour (regardless of the number of participants, up to the maximum group size).
Regular small-group tours — shared with other guests, priced per person, with a minimum of 2 participants required.
All tours are day tours. We do not provide accommodation or multi-day packages. Tour durations vary depending on the specific itinerary and are specified on each tour's page on our website.
Our tours are designed for adults only (18 years of age and older).
3. Booking and Reservation
Reservations can be made through the online booking system (powered by Bókun) on our website at viltour.com, or by contacting us directly via email or phone.
When you complete a booking, you will receive a confirmation email with your reservation details. Please review this confirmation carefully and contact us immediately if any information is incorrect.
A booking is considered confirmed once you have completed the reservation process and received a confirmation email. By completing a booking, you enter into a binding agreement with Viltour for the provision of the booked tour, subject to these Terms.
3.1 Pick-up and meeting points
Pick-up is available from selected locations in the Akureyri area, including hotels, guesthouses and the cruise ship port. Pick-up is included in the tour price at no extra charge. When booking, you may select a pick-up location or contact us to arrange a specific meeting point.
It is your responsibility to be at the agreed pick-up location at the agreed time. If you are not present at the pick-up point within a reasonable time, the tour may proceed without you and no refund will be issued.
4. Prices and Payment
4.1 Pricing
All tour prices are listed in Icelandic króna (ISK) on our website. Prices may vary depending on the tour type:
Private tours: The listed price is for the entire tour (per booking), regardless of the number of participants in the group (up to 8 guests).
Regular small-group tours: The listed price is per person.
Prices are subject to change. However, once a booking is confirmed, the price stated in your confirmation email is the price that applies to your reservation.
4.2 What is included in the price
Guided tour with a professional, certified guide
Transportation during the tour in a comfortable vehicle
Pick-up and drop-off in the Akureyri area
Wi-Fi on board
Mandatory liability insurance as required by Icelandic law
4.3 What is NOT included in the price
Entry fees and admission tickets (e.g. Earth Lagoon, Mývatn Nature Baths, museums)
Food, drinks and meals
Personal travel insurance
Personal expenses and gratuities
Any items or services not explicitly listed as included
Specific inclusions and exclusions for each tour are also listed on the respective tour page on our website.
4.4 Payment
Currently, payment for tours is collected on arrival at the start of the tour. No payment card data is collected through our website. Viltour does not collect or store payment card details.
Should online payment be introduced in the future, it will be processed by a certified third-party payment service provider, and these Terms will be updated accordingly. The available payment method(s) will always be displayed during the checkout process.
5. Cancellation and Refund Policy
Free cancellation up to 24 hours before the tour start time for a full refund. No refund for cancellations made less than 24 hours before the tour or for no-shows.
5.1 Cancellation by the customer
24 hours or more before the tour start time (local Icelandic time) — full refund (100%).
Less than 24 hours before the tour start time — no refund.
No-show (failure to appear at the pick-up point) — no refund.
To cancel a booking, please contact us by email at viltouriceland@gmail.com or through the booking confirmation you received. Cancellations are effective based on the time the cancellation request is received by us.
Where a refund is due, it will be processed as promptly as possible using the original payment method or an agreed alternative. Please allow up to 10 business days for the refund to appear, depending on your bank or payment provider.
5.2 Cancellation or changes by Viltour
We reserve the right to cancel, reschedule or modify a tour in the following circumstances:
Adverse weather conditions that make the tour unsafe or impractical
Road closures or unsafe driving conditions
Volcanic or seismic activity
Instructions from Icelandic authorities or emergency services
Minimum number of participants not reached (for regular small-group tours)
Other circumstances beyond our reasonable control
If Viltour cancels a tour, you will be offered the choice of:
A full refund (100%) of the amount paid, or
Rebooking to an alternative date at no additional cost (subject to availability).
We will make every reasonable effort to notify you of any cancellation or significant change as early as possible.
5.3 Route and itinerary changes
Iceland's natural conditions — including weather, road conditions, visibility and volcanic activity — can change rapidly and without warning. For this reason, Viltour reserves the right to adjust, modify or alter the planned tour route, itinerary or schedule at any time to ensure the safety and wellbeing of participants. Such changes do not entitle the customer to a refund.
Viltour will always aim to provide an experience of equal or similar value when changes are necessary. The flexibility to adapt to conditions is an integral part of how our tours operate and reflects the nature of travel in Iceland.
6. Weather and Natural Conditions
Iceland's weather is inherently unpredictable and can vary significantly within a single day. Conditions such as strong winds, heavy rain, snow, fog, or poor visibility are common and are considered a normal part of the Icelandic experience.
Tours may proceed in challenging weather conditions as long as your safety is not compromised. A tour will not be cancelled solely because of discomfort caused by weather — only if conditions pose a genuine safety risk.
If weather conditions require cancellation by Viltour, the provisions of Section 5.2 apply (full refund or rebooking).
7. Participant Responsibilities and Safety
7.1 Fitness and health
Our tours involve short to moderate walks over varied and sometimes uneven terrain. You are responsible for assessing your own fitness and health before booking. If you have any medical conditions that may affect your ability to participate safely, please inform us before the tour.
7.2 Appropriate clothing and equipment
Iceland's weather requires proper preparation. You are responsible for wearing warm, waterproof and layered clothing, as well as sturdy footwear suitable for outdoor walking. Viltour does not provide clothing or personal equipment. Specific recommendations may be listed on each tour's page.
7.3 Following the guide's instructions
For your safety and the safety of the group, you must follow the instructions and directions of the tour guide at all times. This includes staying within marked paths and designated areas, observing safety warnings, and not engaging in any behaviour that could endanger yourself or others.
7.4 Right to refuse participation
Viltour reserves the right to refuse participation or remove any participant from a tour if, in the guide's reasonable judgment, the participant's behaviour, condition or state poses a risk to themselves, other participants, or the guide. This includes, but is not limited to, being under the influence of alcohol or drugs, or refusing to follow safety instructions. No refund will be issued in such cases.
8. Insurance
Viltour carries mandatory third-party liability insurance as required by Icelandic law, which covers the guide's professional liability during the tour.
This does not replace personal travel insurance. We strongly recommend that all participants purchase comprehensive travel insurance that covers, at a minimum:
Medical expenses and emergency evacuation
Trip cancellation and interruption
Personal belongings and luggage
Activities in Iceland's natural conditions
Viltour shall not be held liable for any costs arising from the lack of adequate personal travel insurance.
9. Liability
Participation in all Viltour tours is at the customer's own risk. Iceland's natural environment presents inherent risks, including but not limited to unpredictable weather, uneven and slippery terrain, geothermal areas, volcanic activity, and rapidly changing conditions.
Viltour shall not be liable for:
Injury, illness, loss of life, or damage to personal property arising from participation in a tour, except where caused by our proven negligence
Loss or damage to personal belongings, luggage or equipment
Delays, cancellations, or itinerary changes caused by weather, road conditions, volcanic activity, actions of authorities, or other circumstances beyond our control
Any indirect, consequential, or incidental losses, including but not limited to missed flights, hotel bookings, or other travel arrangements
Costs incurred by participants due to emergency rescue or medical evacuation
Viltour's total liability to any customer shall in no event exceed the total amount paid by that customer for the specific tour in question.
10. Cruise Ship Guests
Viltour regularly welcomes cruise ship guests arriving at the port of Akureyri. We understand the importance of returning to the port on time and we structure our tours accordingly. However, please note:
Viltour will make every reasonable effort to ensure timely return to the Akureyri cruise port, but cannot guarantee return times due to road conditions, weather, or other unforeseen circumstances.
Viltour is not liable for missed ship departures. We strongly recommend allowing a comfortable time buffer when booking your tour.
If you are a cruise ship guest, please inform us of your ship name and required return time when booking.
11. Force Majeure
Viltour shall not be held liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to:
Severe weather conditions
Volcanic eruptions or seismic activity
Road closures or restrictions imposed by Icelandic authorities
Natural disasters
Epidemics or pandemics
Government actions, regulations or restrictions
Strikes, labour disputes or industrial action
Failure of telecommunications or power supply
In the event of force majeure, we will make reasonable efforts to offer an alternative arrangement or a full refund.
12. Disputes, Complaints and Chargebacks
12.1 Complaints
If you are dissatisfied with any aspect of your tour or booking experience, we encourage you to contact us directly and as soon as possible so that we can attempt to resolve the matter promptly:

We aim to respond to all complaints within 5 business days and to resolve issues in a fair and timely manner.
12.2 Dispute resolution
In the event of a dispute regarding your booking, payment, or our services, we ask that you first contact Viltour directly using the contact details above. We are committed to resolving disputes amicably and directly with our customers.
If a dispute cannot be resolved directly, either party may refer the matter to the appropriate authorities or courts under the governing law set out in Section 14 of these Terms.
12.3 Chargebacks
If you have paid by credit or debit card, we ask that you contact us before initiating a chargeback or payment dispute with your bank or card issuer. In many cases, issues can be resolved more quickly through direct communication.
When a chargeback is filed, we will provide relevant documentation to the payment processor, including confirmation of the booking, the applicable cancellation policy, and any communication related to the booking. Chargebacks filed in cases where services were delivered as described, or where a cancellation was made outside the refund window, may be disputed by Viltour.
13. Intellectual Property
All content on the viltour.com website — including text, photographs, logos, design and layout — is the property of Viltour or used with the appropriate permissions and is protected by applicable copyright and intellectual property laws. You may not reproduce, distribute, or use any content from our website without our prior written consent.
14. Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of Iceland. Any disputes arising out of or in connection with these Terms or the services provided by Viltour shall be subject to the exclusive jurisdiction of the District Court of Northeast Iceland (Héraðsdómur Norðurlands eystra), unless mandatory consumer protection laws of your country of residence provide otherwise.
15. Changes to These Terms
Viltour reserves the right to update or modify these Terms at any time. Any changes will be posted on this page with an updated "Last updated" date. The Terms in effect at the time of your booking will apply to that booking.
